What personal data we collect and why
Contact forms and enquiries
When you contact us through our website forms or by email, we collect:
- Name and email address
- Phone number, if you provide one
- Organisation name, if you provide one
- The content of your message
- IP address, for security purposes
Please do not send confidential or sensitive information through the website forms or by ordinary email. If your enquiry concerns a complaint, a safeguarding matter or a case, tell us only what we need to understand the enquiry, and we will agree with you how to share anything further. Any such information should be sent securely and in line with your own organisation's policy on handling and transferring information. Where sensitive information does reach us, we hold it securely, use it only to respond to you, and do not share it without your agreement unless the law requires us to.

Resolution Ready Connect and mailing list
If you sign up to our newsletter, we collect your name and email address and your subscription preferences.
Legal basis: consent. You can unsubscribe at any time using the link in any email we send.
Cookies and website tracking
Our website uses essential cookies only, which are needed for the site to function. We do not use analytics, advertising or tracking cookies, and we do not profile visitors. If that changes we will update this policy and ask for your consent before setting any non-essential cookies.
How long we keep your data
- Enquiries: three years from your last contact with us
- Newsletter subscriptions: until you unsubscribe
- Records relating to work we carry out for a client: as set out in the agreement for that work
Who we share your data with
We do not sell or rent your personal data. We use the following providers, who process data on our behalf under contract:
- Brevo, for our newsletter and mailing list
- Microsoft, for email and file storage
- Our website host, for the website and its forms
We may also disclose personal data where the law requires it, or where there is a safeguarding concern about a child or an adult at risk.
International transfers
Some of our providers process data outside the United Kingdom. Where they do, the transfer is covered by the safeguards required under UK data protection law, such as the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
Your rights
Under UK GDPR you have the right to:

- Ask us to correct data that is inaccurate

We use appropriate technical and organisational measures to protect your data, including secure hosting, encrypted email and storage, access controls and regular security updates.
Complaints about how we use your data
If you are unhappy with how we have handled your personal data, please tell us first so we can put it right. Email office@resolutionready.org.uk with "data protection complaint" in the subject line, or use the form on our contact page, setting out what has gone wrong and what you would like us to do.
We will acknowledge your complaint within 30 days and respond without undue delay.
If you are not satisfied with our response, or you would rather not come to us first, you can complain to the Information Commissioner's Office.
